ClinicOS Publisher Data Deletion Instructions

ClinicOS Publisher allows authorized users to connect Facebook accounts and Pages for business publishing.

You may request disconnection of a Facebook connection and deletion of information associated with that connection by following the instructions below.

Option 1: Disconnect through ClinicOS Publisher

An authorized ClinicOS Publisher administrator may:

  1. Sign in to the applicable WordPress Multisite Network Administration area.
  2. Open ClinicOS → Settings.
  3. Locate the relevant Facebook connection.
  4. Select the option to disconnect that connection.
  5. Confirm the disconnection when prompted.

Disconnecting a connection is designed to:

  • mark the connection as disconnected;
  • invalidate or remove the stored credential for that connection;
  • make Pages owned by that connection unavailable for future publishing; and
  • preserve historical publishing records where reasonably necessary for operational, security, contractual, or legal purposes.

Disconnecting ClinicOS Publisher does not automatically delete posts already published to Facebook. Published posts must be deleted directly from the relevant Facebook Page.

Option 2: Remove the app through Facebook

Depending on Meta’s current interface, you may also remove ClinicOS Publisher from your Facebook business integrations or authorized applications.

After removing the app through Facebook, you should also notify WellPlanet so that associated ClinicOS Publisher records can be reviewed and deleted or anonymized where appropriate.

Meta may separately send WellPlanet a notification when a user requests deletion through Meta’s systems.

Option 3: Submit a deletion request to WellPlanet

Send an email to:

support@wellplanet.com

Use the subject line:

ClinicOS Publisher Data Deletion Request

Include:

  • your name;
  • the business or clinic name;
  • the Facebook Page name;
  • the Facebook Page URL or Page ID, when known;
  • the email address associated with your ClinicOS access;
  • the type of request you are making; and
  • enough information for us to verify that you are authorized to make the request.

Do not include:

  • Facebook access tokens;
  • App Secrets;
  • passwords;
  • authorization headers;
  • token screenshots;
  • patient information; or
  • sensitive health information.

What may be deleted or anonymized

Following verification, we may delete, invalidate, disconnect, or anonymize applicable information such as:

  • Facebook connection details;
  • encrypted access credentials;
  • Page access credentials;
  • Page-to-client connection records;
  • connection metadata;
  • authorized-account identifiers;
  • profile information associated solely with the connection; and
  • diagnostic information that is no longer required.

Information that may be retained

Some information may be retained where reasonably necessary for:

  • security and fraud prevention;
  • documenting publishing activity;
  • resolving disputes;
  • enforcing agreements;
  • complying with tax, accounting, regulatory, or legal obligations;
  • maintaining reliable backup systems; or
  • establishing, exercising, or defending legal claims.

Publishing history may include:

  • the Page that received a post;
  • the publication date;
  • the content submitted;
  • the Facebook provider post ID;
  • success or failure status; and
  • redacted diagnostic information.

Where appropriate, identifying information may be removed or anonymized instead of retaining a directly identifiable record.

Identity and authority verification

Before processing a request, WellPlanet may need to confirm:

  • the requester’s identity;
  • the requester’s relationship to the business;
  • authority over the relevant Facebook Page; and
  • that fulfilling the request will not improperly affect another authorized business or administrator.

We will not request your Facebook password or access token.

Response time

We will acknowledge and process verified requests within the period required by applicable law.

Complex requests, disputed authority, legal retention requirements, or requests affecting multiple businesses may require additional time. We will provide an update where required.

Confirmation

After the request is completed, we will provide confirmation describing the action taken, unless doing so would create a security risk or violate applicable law.
